Organisational Email Archiving and Compliance
What is Email Archiving and Compliance?
All of an organisation's sent and received emails are automatically archived outside of Exchange. Individual email data is updated to a SQL server and the email together with any attachments is compressed and encrypted then saved to a separate Mailstore. Normal Exchange/Outlook email activity is not affected.
Journaling in Exchange is used to automatically capture a copy of all emails that have been sent or received. Single instance archiving is used, so that irrespective of the number of recipients only one copy of an email is archived with a record being kept of recipient details. Global exclusions can be set up so that specific types of emails can be excluded from the central archiving repository e.g. exclude SPAM, out of office replies, music file attachments, emails from specific domains etc.
Powerful seach and find facilities exist from within the Outlook Add-in whereby users can search and find their own emails in the central archive whereas the Systems Administrator is able to 'see' all emails.
What are the benefits?
- No email is ever lost or mis-laid, any email can always be found
- Fast and powerful searching together with 'Search Within Results' will quickly take you to the email that you are interested in.
- Emails are viewed in their original .msg format and attachments always remain with the email
- Viewed email can be returned to user's Mailbox or forwarded on
- Forensically sound procedure ensures authenticity and no email can be changed or altered
- Emails can be confidently deleted from Exchange Mailboxes, safe in the knowledge that a retrievable copy is in Mail-safe's central archive
- Old emails in Mailboxes and PST's can be 'swept up' into Mail-safe's central archive, see <Mailbox Reducer> and <PST Sweep up>
