MailSafe Indexing gives you a common, central email filing structure to allow sharing within groups or teams.
The
MailSafe indexing module enables users to add index information to
those emails that are already stored within the Compliance archive SQL
database. The six index fields are in addition to the header
information and message body text which is already captured and is part
of the compliance database.
The six index fields are user-defined and can be either drop down lists or free text. Some or all fields can be set as mandatory.
The following is a typical example of indexing an email:

MailSafe Indexing Features and Benefits:
1. Outlook Interface - MailS@fe's toolbar is within Outlook. No separate application needs to be run.
2. Message Privacy - emails
are archived to groups and users or as private. MailS@fe is compatible
with Active Directory or alternatively groups or users can be set up
within the MailS@fe Management Console.
3. Standard Searching - archived
emails can be searched for using the six index fields, all the header
information as well as 'free text' searches. These are all 'AND'
conditions.
4. Advanced Searching - a series of SQL search criteria statements can be created from a drop-down list.
5. Search Within Results - searches can be refined using this feature.
6. Viewing - emails
and their attachments are viewed from within Outlook in their original
format. All of Outlook's fucntionality is available to Forward, Save
As, Print etc to the viewed emails.
7. Email Archived only once - MailS@fe supports single instance archiving.
8. Index Field Changes - index
field data is held centrally, so that any changes to index field data
will automatically 'cascade' down through archived emails.
9. Multiple Indexing of single emails by different groups or users.
